This policy explains what personal information we collect, why we collect it, who we share it with, and what you can ask us to do about it. It applies to everyone we deal with — clients, the people in our photographs, guests at the events we cover, and visitors to this website.

We are Alamgir Alam trading as Aurora Photography Sydney (ABN 21 868 086 834), and we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

In short

  • We collect what we need to quote for, arrange, deliver and invoice your booking — and not much else.

  • Our work is photographs of people, so images are the main kind of personal information we hold.

  • We do not sell personal information. Ever, to anyone, for any price.

  • Some of the services we rely on store data outside Australia. We say which ones below.

  • You can ask us what we hold about you, ask us to correct it, and complain if you are unhappy.

  • If you are a guest at an event we are covering and you would rather not be photographed, just tell us. We will not make it awkward.

What we collect

From clients

Your name and your partner's or co-client's name, email address, phone number and postal address. The date, venue and locations of your booking. Run sheets, programmes and timings. Family and group photograph lists. The contact details of your planner, celebrant and other suppliers. Your responses to our pre-shoot questionnaire. Billing details. And the content of your correspondence with us.

From business and institutional clients

Business or organisation name, ABN, purchase order and supplier portal details, contact names and roles, site access, induction and security clearance details, and the photography consent and exclusion lists you provide.

From visitors to this website

Your IP address, browser and device type, operating system, the pages you visit, the site that referred you, how long you stay, and similar analytics data, collected through cookies and the tracking tools described further down.

Payment details

Card details are collected and processed by our payment provider, not by us. We do not see or store full card numbers.

Sensitive information

We do not go looking for sensitive information. But we do ask a question in our questionnaire that invites it, because doing our job well sometimes depends on it — a health condition, a mobility or accessibility need, anxiety about being photographed, a sensory sensitivity, a dietary or religious requirement, a recent bereavement, a family estrangement, or a court order affecting who may appear in or receive images.

Where you tell us something like that, we collect it with your consent, we use it only to do the work properly and considerately, we keep it in confidence, and we do not retain it beyond your engagement. You are never obliged to tell us.

Photographs, film and audio

This section matters more for us than for most businesses, so it gets its own heading.

A photograph of an identifiable person is personal information

Under the Privacy Act, an image that identifies someone is personal information about that person. Our entire craft consists of making such images, which means most of what we hold about you is not a record in a database — it is a photograph.

We collect photographs, video and audio of you, your family, your guests, your staff and your event, in the course of delivering the booking you engaged us for. Where cinematography is booked, that includes audio of speeches, vows and ceremonies.

How we use them

First, to deliver your booking — editing, grading, album design, film edits and delivery through your private gallery. Second, to promote the studio, under the licence recorded in your Client Agreement and summarised on our Terms and Conditions page.

We do not sell images or licence them to stock libraries, and we do not use them in a way that is misleading or that reveals private information such as your home address.

Your client agreement governs the marketing use

If you have booked us, the licence you granted us to use your images in our own marketing is a contractual matter set out in your signed Client Agreement, not a privacy setting. Our Terms and Conditions page summarises it, and the agreement itself is the authority. Please read that clause before you book rather than after — we would rather have the conversation up front.

Raw files and working material

We hold raw files, out-takes and unedited footage as working material. We do not release them, and we delete them in line with the retention periods below.

Guests, attendees and other people in the frame

Not everyone who appears in our work has signed anything with us, and we take that seriously.

If you are a guest at a wedding, an attendee at a conference, a parent at a school event, or anyone else who finds themselves in front of our camera, the following applies to you regardless of what our client has agreed with us.

  • You can ask us on the day not to be photographed or filmed, and we will respect it.

  • You can ask us afterwards, in writing, not to publish an image of you. We will honour that permanently.

  • You can ask what we hold of you and ask us to correct it, the same as anyone else.

  • If you want an image of you removed from our website or from an active social post, email us and we will take it down within 14 days where it is within our control. We cannot recall something already printed, already published by a third party, or already distributed inside an advertising platform's records, and we will tell you honestly if that is the case.

Our clients are responsible for telling their guests and attendees that photography and filming are taking place. Where we are engaged by a school, club or community organisation, that organisation is responsible for holding photography consent for every child and for giving us a workable exclusion list before we begin.

Two things we never do

Images from a funeral or memorial service are never used in our marketing, portfolio, website, social media or awards entries, at any time. Images of children from a school or organised group engagement are never used in our own marketing or portfolio. Both limits are absolute and are written into our client agreements.

Children

We photograph a great many children — newborns, families, school events, sport and community work.

  • We will not publish an identifiable image of a child without the consent of a parent or guardian, and that consent can be withdrawn from our own channels at any time.

  • Where a booking involves children, our attending crew hold a current NSW Working With Children Check, and we provide the numbers before the engagement.

  • We are never alone with a child, and we do not photograph children in change rooms, bathrooms or any private area.

  • Where a parent tells us a child must not appear in anything shared publicly, we honour it permanently.

This website is not directed at children and we do not knowingly collect personal information from a child through it.

How we collect it

Almost always directly from you — through an enquiry form, our booking system, our pre-shoot questionnaire, email, phone, chat on this website, or simply by talking with you. We also collect information by making the photographs and films you have booked.

Occasionally we receive information about you from someone else, such as a planner or venue passing on a run sheet, or a colleague referring you. Where that happens we treat it the same way as if you had given it to us directly.

Why we collect it

To respond to your enquiry and prepare a quote. To arrange, plan and deliver your booking. To run the shoot properly and considerately. To process payments and issue invoices and receipts. To build and manage your gallery. To provide support and handle any complaint. To keep the business records we are required to keep for tax, insurance and legal purposes. To improve how we work. And, where you have consented or would reasonably expect it, to tell you about our services.

If you do not give us the information we ask for, we may not be able to quote for or deliver your booking.

Who we share it with

  • Our crew, associate photographers, cinematographers, editors, album designers and retouchers — all bound to confidentiality.

  • The service providers that run the studio: website hosting, online gallery delivery, email, cloud storage and backup, our booking and scheduling system, invoicing and payment processing, and the internal tools our team works in.

  • Venues, schools and building managers, where it is needed for access, insurance or scheduling.

  • Printers and album manufacturers, to produce the products you order.

  • For weddings, your own suppliers — venue, planner, florist, stylist, celebrant — where we share images with them under the terms in your agreement.

  • Our accountants, insurers and professional advisers.

  • A law enforcement agency, court or regulator, where we are required or authorised by law.

We do not sell personal information, and we do not disclose it to anyone for their own marketing purposes.

Sending information overseas

Some of the services we depend on store data outside Australia, so some of your personal information will be held offshore. The main destinations are the United States, Ireland and other jurisdictions where major cloud infrastructure sits.

That applies to our website platform and the forms, chat and invoicing built into it, our online gallery platform, our email, our cloud storage and backups, our website analytics, our advertising platforms, and our payment processing.

Before disclosing personal information overseas we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles, including by using established providers who publish their own privacy and security commitments. By engaging us or using this website, you consent to disclosure on that basis.

Marketing, and how to stop it

We may send you occasional email about our services where you have consented, or where it is reasonable for you to expect it because you are a client or have enquired with us. We do not send much, and we do not share your address with anyone else for their marketing.

Every marketing email carries an unsubscribe link, and we comply with the Spam Act 2003 (Cth). You can opt out at any time by clicking unsubscribe or emailing support@auroraphotographysydney.com, and we will action it promptly.

Opting out of marketing email does not stop the messages we need to send you about your actual booking, and it is a separate thing from the image licence in your Client Agreement, which is a contractual term rather than a marketing preference.

Cookies, analytics and advertising

This website uses cookies and similar technologies for three things: to make the site work, to remember your preferences, and to understand how people use it.

We use website analytics to see which pages are visited and how people arrive, which tells us what to write more of. We also advertise our services on social platforms, and those platforms may set their own cookies or tracking pixels on this site so that we can measure whether an advertisement worked and show our advertising to people who have visited us. Content we embed — galleries, maps, video, reviews and social feeds — may set cookies of its own.

You can block or delete cookies in your browser settings, and you can usually limit ad personalisation in your account settings on the platform concerned. Parts of this site may not work properly if you block cookies.

Automated decision-making

We do not use automated decision-making technology to make, or to substantially and directly support, any decision about you that could significantly affect your rights or interests. Quotes, bookings, pricing and creative decisions are made by people.

We include this section because from 10 December 2026 the Australian Privacy Principles require a privacy policy to disclose such uses. If that ever changes for us, we will update this section and the date at the top of this page before the change takes effect.

Keeping it secure

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access. In practice that means access controls so that only the people who need information can reach it, encrypted storage, passwords rotated on a ninety day cycle, private galleries released by link and password to the person who booked, and crew who are briefed on discretion and instructed not to discuss the details of a booking outside the studio.

If something goes wrong

No system is perfectly secure. If a data breach occurs that is likely to result in serious harm, we will act quickly to contain it and we will notify the affected individuals and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires. We will tell you what happened and what you can do about it, in plain language.

How long we keep things

  • Your online gallery stays live for twelve months from delivery.

  • We keep a backup of the delivered work for a further twelve months after the gallery closes, after which we are under no obligation to hold it and may delete it without further notice.

  • Raw files, out-takes and unedited footage are working material and are not kept beyond what the project needs.

  • Booking and financial records are kept for at least seven years, because tax, insurance and limitation periods require it.

  • Sensitive information you gave us so that we could do the job properly is not retained beyond your engagement.

  • Enquiries that do not become bookings are kept for a reasonable period and then deleted.

We are not a data archive. Please download and back up your images before your gallery closes, and keep copies in at least two places.

Access, correction and complaints

Asking what we hold

You can ask us for access to the personal information we hold about you, and ask us to correct anything that is wrong or out of date. Email support@auroraphotographysydney.com. We will respond within a reasonable time and in any event within thirty days.

We may ask you to verify your identity first, which protects you as much as us. In the limited circumstances the Privacy Act allows, we may refuse access — and if we do, we will tell you why in writing.

Making a complaint

If you think we have mishandled your personal information, tell us. Email support@auroraphotographysydney.com with the details. We will acknowledge it within five business days and respond within thirty days. We would much rather fix a problem than have you take it elsewhere unresolved.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We review this policy at least once a year and update it whenever our practices change. The date at the top of the page tells you when it was last reviewed, and the version published at any given time is the one that applies.
